Administrative Assistant II Our client plans, funds, and delivers transportation programs and projects that expand access and improve mobility to foster a vibrant and livable Alameda County. This fast-paced, full-time position is conveniently located in the City Center in downtown Oakland. Qualifications/Responsibilities: - Microsoft Suite experience. They need to be intermediate to advanced in Microsoft Suite. - Able to set up contacts, save and send V cards, populate calendars, send invitations, organize, file folders through email, set up hyperlinks in contents, etc. - Must be computer savvy - Work well on their own but follow directions - Experienced Office Coordinator Needed - Good at multitasking, motivated, and have the ability to manage time well, and want to work with and support a wide variety of people - At a minimum, three to five years of administrative experience and excellent knowledge of office administration, including time management, document control and filing, and email correspondence - Excellent communication skills, including the ability to interface successfully with managers and team members as well as members of other organizations, the public, and vendors - High-level computer skills, Internet savvy, and advanced skills with the full Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint - Good grammar usage and the ability to write, edit, proofread, and use the mail merge function on business documents, such as letters, mailing labels, and staff reports - Experience providing meeting and event support, including developing and updating schedules; preparing agendas, meeting notes, and documents; room set up and clean up - The ability to follow directions, work independently, prioritize projects, and meet tight deadlines - Manage the agency schedule and facility needs for internal conferences and meetings. - Manage inventory for office and break room supplies and creating purchase. - Coordination and planning of company social events. - The ability to work with a wide range of personalities without losing focus - The flexibility to assist other team members, as needed, to reach milestones - The desire to learn new skills and take on more responsibility Desired skills and knowledge include the following: - Experience updating data in a variety of spreadsheets and databases - Familiarity with government or nonprofit organizations - Familiarity with the transportation industry Location: Alameda, CA Work Schedule: 8am - 5pm Monday thru Friday Pay Rate: 30 - 33/hr DOE
