Protective Services Office Specialist 90% - Office Services Document, Presentation, and Publication Support: Responsible for compiling, formatting, proofreading and preparing accurate complex technical reports, presentations, proposals, progress reports and other documents. Proofreads and edits documents for clarity, grammar, spelling, punctuation and format. Assures documents are prepared in accordance with Laboratory and Division publication policies, procedures, and document management processes. As appropriate, maintains database of group publications; posts to group webpage. General Administrative Support: Organizes group office areas. Establishes and maintains group shared folders and publications. Interacts and corresponds with internal and external parties as needed. Inputs and tracks procurement requisitions; interacts with buyers and budget analysts to expedite approvals and processing of orders. Arranges shipping and other services as needed. Performs light physical tasks. Institutional Support: Assists with tracking property assets, training compliance, corrective actions, and other institutional needs. As needed, inputs time to Laboratory's timekeeping system; ensures group input, releases and approves time on deadline. If assigned, performs ergonomic evaluations and assists with corrective actions as a Division Ergonomics Advocate. Calendar/Meeting Coordination: Arranges and manages calendars for group members as needed. Coordinates logistical planning for meetings, conferences and workshops, ensuring all meetings comply with LBNL policies. Responsible for all meeting logistics such as arranging guest travel and site access, preparing meeting materials, catering, and coordinating with the Conference Services Dept. Travel: Serves as the group travel coordinator; researches and makes all domestic and international travel arrangements using the Laboratory's travel system. Accurately prepares and tracks travel authorizations, expense statements and travel reports. Coordinates with the Travel Department and ensures all travel complies with applicable LBNL travel policies. Performs other duties as assigned. Marginal 5% - Security and Emergency Services Support Performs other duties as assigned in support of Protective Services. 5% - Emergency Response Organization Participates as a member of the Emergency Response Organization in the Emergency Operations Center (EOC) during meetings, training, drills, exercises, and upon activation of the EOC. Minimum of six years of relevant experience providing a broad range of administrative and clerical support services requiring initiative, flexibility, and independence. Demonstrated ability to comprehend a variety of complex customer/operational/administrative requirements or problems and exercise good judgment to implement effective alternatives and solutions to improve quality and cost-effectiveness. Excellent planning and organizational skills with demonstrated ability to independently establish priorities, manage multiple projects simultaneously with short deadlines and frequent interruptions, and complete assignments in a timely manner. Advanced level computer skills and full knowledge of common business software including Microsoft Office software suite, Google applications (email and calendar). Ability to learn new software and web applications. Advanced level word processing skills to compose and produce error-free documents that include proper formatting and correct grammar usage, spelling, and punctuation. Excellent oral and written communication skills with the ability to interact effectively and diplomatically with a broad range of individuals to include Laboratory employees, visitor, guests, and dignitaries. Demonstrated experience working as part of a successful team with the ability to perform multiple tasks simultaneously and willingness to work in a changing work environment. Experience handling sensitive and confidential information with discretion. Must be able to perform the physical requirements of the position including sit and stand; perform computer and telephone-related tasks for up to 6.5 hours per day; operate a computer, printer, and copy machine. Ability to work extended hours or days as a member of the Protective Services team and the Emergency Response Organization.
