Job Purpose
Team with Facilities Manager to ensure seamless work flow, reportable progress and project completions. To assist Facilities Manager with all projects and oversee all aspects of facilities and construction in the place of Facilities Manager when off:site; accompany Facilities Manager to off:site properties as well as travel in place of Facilities Manager to oversee/manage current capital projects in place. This position will also serve as a backup for the front desk administrator.
Description of Duties and Tasks
Essential duties and responsibilities include the following. Other duties may be assigned.
Required
1. Oversee and execute all administrative tasks. Included but not limited to ordering and restocking of office and break room supplies on all floors, and office equipment (Coffee Brewers, Fountains, Copiers, Printers, etc.)
2. Maintain and document all office supply expenses and budget spread sheets
3. Organize/maintain all capital project files (floor plans, as:builts, contracts etc.), by location, accounts payable, expense reporting, budgets move matrix.
4. Assists with the maintenance of owned and leased facilities including: Coffee Brewers, Soda Fountains, Appliances, Printers, and Copiers, as well as submitting work order tickets with the building management
5. Submit and manage companys KACE ticketing system for all facility needs, reports, and emergency assistance.
6. Life Safety: Updates all company life safety documents monthly (safety maps, safety rosters), as well as maintains the office AED batteries
7. Anticipate the needs of Facilities Manager and take ownership of tasks when delegated with little to no direction.
8. Maintains internal standards for facilities; assist in the selection and provision of furnishings, fixtures, and equipment.
9. Manage and oversee aspects of Property Management (PM) relations including, but not limited to: providing proper insurance, per requirements, coordinating access of all
vendors/contractors needing access to premises
10. Responsible for overseeing all aspects of vendor relationships representing and upholding the companys
Standard of Excellence. Including, but not limited to: negotiate new contract/manage existing contracts in place, obtain proper insurance per building requirements. Resolve any issues that may arise to ensure for a smooth transition once projects are complete.
11. Coordinate all inner office moves and relocations for team and associate workstation relocations. Including the set up and termination of associates.
12. Assists with the coordination of office moves and relocations per the terms of the Lease agreement. Including but not limited to assists with the coordination of removal of all furniture, data/network cabling, schedule cleaning, construction, and all vendors walkthroughs
13. Assist with the work of
vendors/contractors of capital projects from start to finish
14. Assists with coordinating company events and activities to maintain company morale. Contact venue, set:up contract, order food/supplies, gifts, etc.
15. Assists with coordinating travel plans
16. Act as liaison of the Facilities Manager when out of office as directed
17. Create security badges for office, building, and parking garage.
18. Work afterhours and weekends may be required or necessary on certain projects.

Knowledge
High School diploma. Bachelors degree preferred.
Skills
Must possess required skills and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed.
