Amec Foster Wheeler Environment and Infrastructure is currently seeking an experienced Administrative Assistant to join our team in Oakland, CA. The ideal candidate will be a seasoned administrator who can multi:task effectively on a variety of responsibilities from simple to more complex. Must be highly organized, patient and personable, detail oriented, and flexible. Must be Capable of multi:tasking and completing work to a high standard, while meeting strict deadlines. Some basic experience in Human Resources administration is a plus. Key ResponsibilitiesProvide personal and administrative support to project managers and members of the management team with reports, document control and tracking of monthly project dataAssist with HR coordination and daily HR needsAssist accounting with creation of invoicesAssist Project Managers with putting together proposals and reportsAssist with various administrative and financial matters related to monthly accounting cyclesAccounting functions such as AP and prebills, and some project accounting reviewHandle purchase / procurement of office supplies and equipmentGeneral receptionist duties such as greeting visitors and answering phonesContract administrationMaintain files and records (hard copy and electronic) for projects, invoices, correspondence, etc.Research and resolve routine problems as they arise (example: opening and following up with IT support tickets)Various administrative duties such as: arranging meetings; makes arrangements for food as requested, new employee orientation, escorting visitors to and from lobbyPrepare and process expense reports for Sr. Level employeesClerical duties such as: word processing, preparation of correspondence and PowerPoint presentationsReceive and distribute mail; route documents internallyOther administrative duties as requiredHigh School Diploma or equivalent5+ years related experienceProficiency in Microsoft Word, Excel, PowerPoint and Outlook Express are essentialExcellent interpersonal and communication skillsExperience in handling multiple priorities effectivelyAbility to exercise discretion and maintain confidentialityHighly developed people skillsStrong commitment to internal and external customer serviceOrganization and prioritization skillsAttention to detail with focus on qualityReliable and punctualGood writing skillsPrevious experience in financial analysis and accountingProblem solving and solution orientedKnowledge of Civil and / or Environmental Engineering field is very desirableAbility to thrive in an environment of shifting priorities is essentialMust pass drug test and background checkWe are an equal opportunity employer that recognises the value of a diverse workforce.
