The Front Office Receptionist/Technician at our LifeLong Downtown Oakland site is a split role between front desk duties and Medical Records. This role is an integral part of a patient:centered care team composed of clinical providers, medical assistants, and auxiliary staff providing primary care health services in a community health center setting. Under the general supervision of the Center Supervisor, the Front Office Receptionist/Technician is responsible for the efficient running of the front desk including reception, appointment scheduling, patient intake and flow, financial eligibility, cashiering, and telephone operation, as well as the maintenance of patient medical records, implementation of systems for the retrieval of medical records.Responsible for patient reception and intake, managing flow of visit from the front to the back office. Keeps patient informed on the status of their visit.Maintains inventory of front desk supplies and forms.Sorts and distributes center mail.Performs data entry in registration, scheduling and other programs as assigned.Maintains appearance of waiting areas and reception desk.Actively participates in internal quality improvement teams and works with members proactively to drive quality improvement initiatives in accordance with the mission and strategic goals of the organization, federal and state laws and regulations, and accreditation standards.Maintains medical records system, including scanning of all required documents into appropriate systems.Manages and monitors the retrieval and distribution of electronic and paper faxes.Responds to written and verbal requests for patient information, arranges for copying patient records requests and/or completes records requests from outside sources, always adhering to timelines for completion.Answers all calls pertaining to medical records requests.Manages retrieval of charts from storage, converts paper charts into electronic charts and assists in the purging of paper charts.Other duties as assigned by the Center Supervisor and Center Manager.Excellent verbal and written communication skills. Bilingual English/Spanish preferred.Experience with electronic health records, specifically NextGen, strongly preferred.Demonstrated computer skills with standard office software (MS Office).Familiarity with medical terminology.Ability to prioritize competing work demands and tasks from clients or staff.Ability to work effectively and calmly under pressure in a positive, friendly mannerExcellent internal and external customer service skills and ability to maintain a positive attitude under pressure.Ability to effectively work with people from diverse backgrounds and be culturally sensitive.Be creative and mature with a A?can doA? , proactive attitude and ability to continuously A?scanA? the environment, identifying and taking advantage of opportunities for improvement.Willingness to cross:train. Education and Work ExperienceHigh school diploma or GED proficiency.Two year experience as Medical Receptionist and/or Medical Records Clerk with multi:line telephone answering experience.Minimum one year experience using Electronic Health Records systemPrevious experience in working in a community health center preferred.
