Job Description:/h3:
The Office Assistant (OA) will work closly with/on Supervisor(s) real estate daily operational activities and services provided.
You will be responsible for performing office administration, management, and supportive assistance on various daily tasks.
Our ideal candidate takes pride in their work, values puctuality, and adheres to high ethical standars. This person is also well organizes, detailed oriented, excellent written and verbal communication, and is able to take direction from others as a team player.
This is a part:time position (20:25 hours per week), with flexible hours. Position does not require a real estate license but current licensees and those with real estate background are highly encouraged .
Compensation is competitive : depening on experience
General Daily Tasks:
:Create a Standard Operating Procedure for Office Assistant position and Associate position with the support of Supervisor
:Handling incoming calls and routing them properly
:Check emails, respond to them as required
:Take client/tenant calls with their request and coordinate any repairs necessary
:Check emails from website, enter the user profile information on the appropriate database
:Manage Deal Flow Chart
:Ontime management of direct mailings
:Log website traffic report on spreadsheet
:Extract statistical market information weekly on Mondays
Marketing Activities:
:Coordinate with Fusion on any necessary marketing changes, updates, or delevopment
:Send out periodical letters to existing clients i.e. birthday cards, holiday cards....
Real Estate Coodination (Listings/Buyers)
:Preparing listing/buyer packages
:Schedule and assist with coordinating inspections, and other preparation activities such as staging, painting, ect. (prior to launch date or close of escrow)
:Visit current listing and pick up business cards, follow up on realtors that have visited the listing and ask for feedback
:Preparing marketing material to present features on listed homes
:Preparing sellers disclosure packages for new listings
:Distribution of property brochure to designated neighborhood
:Update sellers with weekly marketing report
:Work with title and escrow company, as needed
:Coordinate with Transaction Coordinator, as needed
:Manage and input all TCS : Transactions Conve Sheets
Assistant Qualification / Requirements:
Typing /Computer skills
Familiarity with Microsoft Office applications
Proficiency in English and letter writing skills
Creating systems and maintaining them
Excellent written and verbal communciation
Organized and punctual
Postive with a customer service mentality
Dependable, reliable, self:starter, minimal supervision, problem solver, high ethical standards
Flexibility to work in evenings and weekends (At least one day of weekend on occasions)
